Program and presentation guidelines 

The 4th World Small-Scale Fisheries Congress Latin America & the Caribbean (4WSFC LAC) is fast approaching and we would like to provide you with some information to help you prepare. 

 

Please make sure to check the congress website on a regular basis for all relevant information, including any updates on the congress program.

All times shown in the program are local time in Merida.

 

There have been a number of recent changes in the program so please review the program-at-a-glance carefully. If you notice any issue with your talk or session, contact us ASAP.

The book of abstracts will be available for download from the website closer to the congress date.   

 

If you’re part of the contributed paper session, you have a total of 15 minutes for your presentation (including Q&A). Speed presentations have been allocated 5 minutes. If you are part of a special session, please follow the instructions from the session organizers.

Latin America & the Caribbean

In-person attendance

Venue: All congress sessions will be held at the Centro Internacional de Congresos de Yucatán (CIC) in Merida. All plenaries will be held in Salon 25. Room locations for the concurrent sessions are shown in the congress program.

 

Note that there is no designated room for the ‘Virtual only’ sessions. Congress delegates in Merida can attend these sessions from anywhere they like through the Zoom platform (check congress website for more details).

 

Field trip: Information about the trip will be provided closer to the date. Note that mask is mandatory in the bus transportation and in closed spaces.

 

Registration: Registered participants can pick up the name badge and the congress program at the CIC, starting on Tuesday, October 25th at 8:00. There will be no on-site registration. Coffee breaks and lunches will be provided for all three days.

 

Lunch: Lunch is served at the Holiday Inn, which is about 5 minutes walk from CIC. (see map on the congress website; Av Colón across from Hotel Fiesta Americana)

 

Special events: Congress reception will be held on Tuesday at 18:30 at UADY (see map on the congress website; Calle 57X60, centro). Everybody is invited.

 

Presentation guidelines: In-person presenters of the contributed papers sessions are asked to email their PowerPoint presentations to 4wsfcongress@gmail.com by Friday, October 21st. When sending the presentation, please put your name and session number in the subject line. If you are part of plenary or special session, please send your presentation to the session organizers.

 

Session organisers/chairs & speakers should come to the room where their session will be held 15 minutes before the session start time. A technical host will be there to assist you. While your presentation will already be uploaded to the designated laptop in the room, we recommend the presenters also bring a copy of their presentation on a USB drive. Note that because of the hybrid format, it will not be possible to present from your own laptop.

 

If you are presenting in a parallel session (i.e., special session or session with contributed papers), please ensure that during you talk, you stand in front of the main laptop (the one connected to the projector) to ensure the online audience can see and hear you.


 

Virtual attendance

Before the congress, we strongly recommend that you login into the congress lobby and familiarize yourself with the platform. Congress lobby is not only a central space for those attending the congress virtually but also a designated place where the session recordings will be posted.

Presentation guidelines for virtual speakers: There is no need to send your PowerPoint presentations to the congress secretariat, unless specified by your session organizers. You will need to log into the congress lobby and join your session 15 minutes before the session start time (using the special ‘panelist’ ticket, which will be soon sent to you). You will be able to share your screen and control your presentation when it is your turn.

Asistencia en persona

 

Sede del congreso: Todas las sesiones del congreso se celebrarán en el Centro Internacional de Congresos de Yucatán (CIC) en Mérida. Todas las sesiones plenarias se celebrarán en el Salón 25. La ubicación de las salas para las sesiones simultáneas se indica en el programa del congreso.

Normas de presentación: Se ruega a los presentadores de las sesiones de ponencias en persona que envíen sus presentaciones en PowerPoint por correo electrónico a 4wsfcongress@gmail.com antes del viernes 21 de octubre. Al enviar la presentación, por favor, ponga su nombre y número de sesión en el asunto. Si forma parte de una sesión plenaria o especial, envíe su presentación a los organizadores de la sesión.

Submitting the presentations

 

Organizers should compile PowerPoint presentations from all speakers in their session and submit the complete set in a single email to 4wsfcongress@gmail.com by Friday, October 21st. When sending the presentation, please put your name and session number in the subject line.


 

Zoom Events Platform 

 

Session organizers should familiarize themselves with the platform ahead of the congress.

 

To access Zoom Events Platform, go to https://bit.ly/3RbuIo5. Follow the instructions on the congress website https://www.4wsfcongress.com/latin-america-the-caribbean-october-2022 to ensure that you can enter the session.

 

All session organizers will soon receive a ‘special role ticket’ to access the online platform as ‘panellists’. All ‘virtual speakers’ will also receive the special role tickets.   

 

During the entire session, a technical host will be there to provide support. Note that the session is set to start and end automatically at the appointed time, and it will not be possible to extend. Thus, we recommend that you start and end the session right on time.

 

 

In-room and Zoom hosts 

Hybrid sessions: hybrid session can accommodate in-person and virtual speakers and participants. In each hybrid sessions (including plenary and concurrent sessions), one organizer needs to be the ‘in-person’ chair, and another to serve as a ‘Zoom host’ (to interact with the virtual participants and check Q&A). The Zoom host can be in Merida or join remotely. The session chair can serve as a Zoom host, and will have to follow the Zoom host instruction from their own laptop. 

 

The Zoom host must log in to the online platform at least 15 minutes before the start time. We recommend the use of headset for the Zoom hosts.

 

Virtual sessions: All those attending, including organizers, chairs, speakers and participants will be joining these sessions virtually. Since virtual sessions are not taking place in a specific room at the CIC, please make sure you have a designated location, Internet connection, and a laptop from which you will be joining these sessions. 

 

In virtual sessions, all session organizers automatically serve as ‘Zoom hosts’.

 

Zoom host and the virtual speakers must log in to the online platform at least 15 minutes before the start time. We recommend the use of headset for the Zoom hosts.

 

 

At the start of the session

 

The organizers of the hybrid session will inform the technical host in the room who among them will take on a role of the ‘Zoom host’.

 

The Zoom host must log in to the online platform at least 15 minutes before the start time. The designated Zoom host will then be given the host privilege, which will then enable them to start the session, mute microphones, etc.

 

For in-room presentation, session organizers/chairs & speakers should come to the room where their session will be held 15 minutes before the session start time. While all presentations will already be uploaded to the designated laptop in the room, we recommend the presenters also bring a copy of their presentation on a USB drive.

 

There will be a laptop in the meeting room that is connected to the projector and a screen for the ‘in-person’ speakers. Note that we WILL NOT be able to connect any other laptop to the projector because of the hybrid set-up.

 

When speaking, in-person chairs should stand in front of the main laptop (the one connected to the projector) to ensure the online audience can see and hear them.

2022 International Year of Artisanal Fisheries and Aquaculture (IYAFA)

The United Nations General Assembly declared 2022 the International Year for Artisanal Fisheries and Aquaculture (IYAFA 2022). IYAFA aims to enhance understanding of, raise awareness, and support the contributions of small-scale and artisanal fisheries and aquaculture to sustainable development around the world; specifically their role in food security, nutrition provision, poverty eradication, and sustainable use of natural resources. IYAFA 2022 also aims to promote sharing and collaboration among small-scale fishers, fishworkers, fishfarmers, and stakeholders to support policy co-development. 

 

The IYAFA Global Action Plan (GAP) promotes inclusive value chains, gender equity and equality, awareness and resilience to climate change and disasters, sustainable use of biodiversity, empowering fishers, building partnerships, and nourishing nations by, with, and for artisanal fisheries and aquaculture. These key messages are the foundation of IYAFA, and will help guide sustainable development in the years to come. 

The 4th World Small-Scale Fisheries Congress series is part of IYAFA. We recognize and celebrate the billions of people whose lives and livelihoods are artisanal fisheries and aquaculture around the world.
